Admission, Charges to Students and Refunds Procedure

A prospective student applies online or on paper free of charge.  A student whose application is reviewed favourably by ACL's Application and Assessment Board should receive from ACL an ‘Offer of A Place’ letter, which details what steps the student must take next and what is the minimum necessary payment.  When the College has definitely received the requested minimum fee and copies of the requested documents, it will generate a Certificate of Acceptance for Studies (CAS) number in the UK Border Agency's online system and send a ‘CAS Letter ’ to the applicant (via AGENT if so requested or agreed), which is the required document for applying for a student visa.

If the student fails to obtain a visa, but then promptly returns all original documents sent by ACL plus the original visa refusal letter from the British immigration office, the minimum payment made will be refunded less the Administrative Fee as stated in student's Terms and Conditions.  As part of the refund procedure, if the student or AGENT had booked accommodation through ACL, an additional deduction of Accommodation Admin Fee will be made to cover the administrative cost and loss of revenue incurred.  The current Accommodation Admin Fee applicable is £100 if the student is NOT able to secure a visa, and £200 if the student obtains a visa but decides not to stay in the accommodation booked.  The level of administrative fees is subject to periodic review by ACL and needs no revision of this agreement.

ACL agrees with the AGENT that it will refund the tuition fee, and any other fee received from the student into the bank account of a student who is refused an Entry Clearance by the British Consulate or Embassy on their final visa application, less the administrative fees in force at the time as governed by the Tuition Fee Refund Policy of ACL, which can be found as part of the Terms and Conditions for Students.  Refund requests will be meticulously checked by ACL and confirmation of the student visa refusal will be requested from the British immigration office concerned.  No refund can be given until ACL is satisfied that: (a) the money concerned did definitely reach ACL, (b) the visa application was refused and is not liable to be reactivated, and (c) the student has not in fact received a visa and/or used ACL's sponsorship to enter the UK.
 
When ACL refunds an amount of money back to the student or the AGENT, it will normally provide them with a copy of the receipt or the transaction note from the bank via email or fax.  A minimum of three weeks should be allowed for such payments to reach the AGENT or the student once ACL despatches such refund before any query is initiated about the refund.
 
ACL will not be responsible for the AGENT having its own reasonable administrative charges to students for their services although it will monitor and review whether such charges have an adverse impact on its reputation as a responsible institution.
